Service Manager/ Volunteer Coordinator Position

​

This advertisement is for a full-time salaried position to oversee and coordinate volunteer services at the Community Care Collaborative (CCC). CCC is a community impact program of the Albemarle Area United Way (AAUW) and serves as an interfaith organization supported by local faith communities and network partners that provide emergency gap services to people in Pasquotank, Camden, Perquimans Counties and surrounding areas who have no other place to turn for help. CCC relies on volunteers to provide emergency (gap) services and disaster recovery, as well as administrative and fundraising activities. The AAUW Executive Director will supervise this position and provide direction on tasks to be conducted.

 

Summary of Duties

 

The three main functions of this position are: 1) Case Management and Related Administrative Duties. 2) Volunteer Recruitment/Coordination and Volunteer Training 3) Community Engagement

 

Administrative Duties

This position serves as the CCC Database Manager (NCCARE360) ensuring that data is entered updated and that the integrity of the data remains credible and timely. Although these Clerical Support duties may be accomplished by a CCC volunteer, the Case Manager/ Volunteer Coordinator Position is responsible for the following tasks to be completed in an accurate, timely manner. 

  • Provide Clerical Support for daily operations of the CCC Administrative Office by:

  • Entering and updating Volunteer Database

  • Entering and updating Client Database

  • Maintaining CCC Website

  • Entering and updating Faith Community Database

  • Assist in preparation and delivery of written reports 1 week in advance for all committee meetings.

  • Assure the update of the CCC Policy and Procedure Manual  

  • Assure that appropriate internal policies, such as volunteer/financial management, are adhered.

  • Responsible for CCC correspondence such as monthly e-newsletter

  • Deliver community presentations and serve as an Ambassador for CCC daily

 

 

Volunteer Recruitment/Coordination

  • Devise and implement volunteer recruitment strategies to reflect diversity of community.

  • Serve as the primary contact for all volunteers

  • Maintain records of volunteer talents/interests/skills/availability, matching to organizational needs. 

  • Supervise Volunteers

 

 

Volunteer Training

  • Maintain volunteer handbook, policy & procedure manual, to be given to each volunteer.

  • Conduct new intake volunteer orientation.

  • Maintain volunteer resource book and ensure that appropriate updates are provided to volunteers.

  • Conduct/plan monthly workshops and regularly schedule training.

  • Ensure that volunteers are knowledgeable, helpful and respectful in their interactions with clients and the community.

  • Maintain an up-to-date volunteer, and Advisory Committee member contact list.

Volunteer Retention

  • Ensure volunteer needs are met, including training, information on resources, and necessary forms and changes that are available,

  • Assist in the organization of volunteer appreciation events and extend appropriate thanks/benefits (this includes administrative aspects of event).

Staff Relationship.

  • Report to AAUW Executive Director

  • Work with paid/volunteer staff to meet CCC requirements.

  • Maintain regularly scheduled weekly office hours.

  • Participate in staff meetings, committee meetings and ad-hoc meetings / consensus decision-making that impact volunteer activities/training/recruitment.

  • All other duties as assigned by the Executive Director

 

This position is located in the AAUW office at 1413 Parkview Drive, Elizabeth City, NC 27909.   The person in this position will be expected to oversee and manage volunteer recruitment, scheduling and other tasks in all potential satellite locations as they are set up. 

 

Qualifications

​

The qualified applicant must have at least 2 years experience supervising other workers (preferably volunteers), be well-organized, have good communication and administrative skills at interacting with volunteers and clients, be familiar with standard computer programs and databases, have some experience with training, and be open to input from volunteers on materials, training, or other information that will be most useful for carrying out the mission of the CCC. Ideal candidate will have compassion and empathy for every client with a primary goal of instilling hope. Preferred candidate will possess a 4-year degree. Ideal candidate will have social work background and/or non-profit sector experience.

Salary

​

The salary for this full-time position is approximately an annual amount of $21,000.00 to $23,000.00 and commensurate with experience

 

 

Benefits:

Vacation leave will be accrued at the rate of 5 hours per month.  This amounts to 60 hours or 2 weeks each fiscal year for vacation leave time. In addition, there are 10 paid holidays.
